What differentiates Smartsheet from other similar products?

Frankly, it's built for structure at scale. Most project tools are optimized for individuals or small teams. However, Smartsheet stands out when you’re managing multiple moving parts, deadlines, stakeholders, and approvals... especially in more formal setups.

What is your favorite aspect of this product?

I would say I love the fact that it's a combination of structure and flexibility I loved how I could manage multiple client calendars, create content approval flows, and track blog post statuses... all in one interface that felt familiar (like Excel) but supercharged.

What do you dislike most about this product?

As much as it isn't bad, but it can feel a little “corporate.” Smartsheet isn’t very flashy or modern in its UI. As a creative, I missed the visual appeal and smooth UX you’d get in tools like ClickUp or Notion. But if you're focused on function over aesthetics... you’ll be fine.

What recommendations would you give to someone considering this product?

Consideration for Smartsheet is quite easy if: You’re already spreadsheet-friendly and want more automation You handle lots of content tracking, client requests, or multi-step processes You want to keep your creative workflow organized, not scattered

Ease of planning, organising, scheduling and rescheduling of my projects and tasks. Real-time communication via mass messaging. Online marketing campaign. Agile field work collection.

Milestone project monitoring and management.

No single drawback we've encountered for couples of years.

What really differentiates Smartsheet from other similar products is its unique blend of flexibility and familiarity. As someone who has worked with a variety of project management tools, Smartsheet stands out because of how closely it mirrors the structure of a spreadsheet—something many people are already comfortable with. But unlike a simple spreadsheet, it offers powerful project management features like Gantt charts, automated workflows, and detailed reporting, which makes it so much more robust and useful for managing complex projects. Smartsheet’s integration capabilities are another big plus.

What is your favorite aspect of this product?

One of the things I appreciate most is how customizable Smartsheet is. I can tailor the tool to fit nearly any project need, whether I’m managing a small team or handling a large, multi-faceted project. The way I can adjust columns, add custom fields, and create rules that automate repetitive tasks is a huge time-saver. I also love the real-time collaboration features. It’s incredibly easy to share sheets, leave comments, and make updates without worrying about version control issues, which is a constant challenge with other tools I’ve used.

What do you dislike most about this product?

What I dislike most about Smartsheet is the steep learning curve, especially if you’re new to project management tools. While the spreadsheet-like interface is familiar and initially easy to grasp, it can quickly become overwhelming once you dive into the more advanced features. There are a lot of options, and it can take some time to figure out how to use them efficiently, particularly with things like automation and custom workflows. I often find myself referencing tutorials or looking up how to do something simple because the interface isn’t as intuitive as I’d like.

What recommendations would you give to someone considering this product?

Smartsheet works really well with many third-party tools like Google Workspace, Microsoft Office 365, and Salesforce. If you already use these tools, make sure to take full advantage of the integrations to streamline your workflow and avoid switching between apps.
